Electrical design keeps a project list next to EPLAN, the cabinet shop keeps a production list, BMS programming keeps its own spreadsheet, installation hangs off the main contractor's construction schedule. Four plans, no connection - and the same person is named differently in each. works differently than elsewhere

Projects in building, energy and automation systems follow different rules than construction or IT projects. Three traits make the difference - and explain why standard project management fails here.

No project runs like the last one

The range runs from a single distribution board retrofit to building automation across an entire site. The standard sequence of development, design and manufacturing that most tools assume doesn't hold: electrical design, control cabinet build, PLC and BMS programming, visualisation, installation and balancing come on top - combined differently in every project. A plan that only knows one fixed phase sequence fits half the projects badly.

The project lead comes out of a technical department

There is rarely a dedicated project management layer above the project. Usually someone from electrical design, the cabinet shop or automation takes it on - and then runs their department and the project at the same time. Both roles draw on the same people. Doing both in one person calls for two views of the same capacity: the project's and the department's.

The plan doesn't end at the workshop door

Electrical design and cabinet build run in house; installation, balancing and handover happen at the property - and in between, the main contractor, the other trades and the operator all hang in the same schedule. Unlike a pure construction site there is no single place where everything sorts itself out: part of the project sits in your own workshop, part at the property, part with the supplier.

half the problem

Many project management systems come with an enormous feature set - one that never comes close to being used in practice. The reasons are always the same: poor usability, long load times, no connection to the existing system landscape, costs that are too high, weak training and a rollout that never really worked. What's left is an expensive system nobody uses.

Linetrack didn't come out of a market analysis but out of projects that run exactly like this: many departments on one undertaking, hard dependencies between them and a date at the end of the chain where everything has to come together. How a project in building, energy and automation systems is cut is something the companies in this segment showed us - what was missing in their planning went into the product. Few companies in building and automation systems start from zero. Most already have tools - each of which solves only part of the problem. EPLAN runs the electrical design and knows nothing about installation capacity. The main contractor's construction schedule knows the installation week but not the cabinet build behind it. The ERP knows purchase orders and hours, but no forecast. What's missing is the connection between the systems. A project in building, energy and automation systems runs through phases that no standard sequence knows - from electrical design through procurement, control cabinet build and programming to on-site installation and balancing. Every phase has its own dates, ties up its own people and hangs off the one before it: if electrical design is late, the cabinet shop can't start - and the handover date slips with it. And not every project contains the same phases.

This is exactly where separate tools fall short. They map individual phases, but not the continuous flow - and certainly not a sequence that changes from project to project. What sets project management in building and automation systems apart from other industries?

Three things. First the range: from a single distribution board retrofit to building automation across an entire site, no project runs like the last one, so a fixed standard sequence doesn't hold. Second the phases: electrical design, procurement of switchgear and field devices, control cabinet build, PLC and BMS programming, visualisation, installation and balancing. Third the organisation: the project lead usually comes out of a technical department and runs a department and a project at the same time. Can a department lead also be the project lead?

Yes, and in building and automation systems it is the norm. Project lead and department lead are separate roles in Linetrack, each with its own permissions and views - and the same person can hold both. In the project role they plan and own the project's tasks across every department involved; in the department role they see their department's workload across every live project. Does Linetrack map phases like electrical design, cabinet build, BMS programming and balancing?

Yes. A project's phases are freely definable; the plan is not locked to a fixed sequence of development, design and manufacturing. Electrical design, procurement, control cabinet build, PLC and BMS programming, visualisation, installation and balancing sit as their own tasks in the same plan - with dependency relationships between them and capacity drawn from the departments concerned. Differently shaped projects then run alongside one another without needing a separate template for each.

Can the other trades and subcontractors be brought into the project?

Yes. External trades and subcontractors get their own, limited access to their tasks and deadlines in the project plan - through a free collaboration licence; only internal users are licensed, starting at €10 per user per month. When a trade reports progress or a delay, it takes effect directly in the overall plan instead of sitting in a separate email thread. Are there reference customers in building, energy and automation systems?

Yes, several released by name: the STOLL Group, whose electrical engineering spans power engineering, building services and automation; Prola Automation from Switzerland, with industrial and building automation; and GRÜBL Automatisierungstechnik from Austria, with electrical design, control cabinet build and software planning. No case study has been published for these three so far. The one case written up is InVENTer GmbH - there, though, for development projects across the company's own departments, not for a cross-trade building services project. Why isn't MS Project or Excel enough here?

MS Project and Excel plan individual projects, but stay islands with no connection to the rest of the system landscape. They show no cross-project capacity and no overall picture across every property. Where the same BMS programmers, cabinet builders and commissioning engineers work on several projects at once, that removes exactly the information reliable handover dates depend on. And another trade cannot report back into a file anyway.

Which companies in building, energy and automation systems is Linetrack a fit for?

For companies running several properties at once while sharing the same departments and specialists - Linetrack makes the biggest difference typically for organisations of roughly 20 to 300 employees with up to 30-plus departments, without that being a hard ceiling. The wider the range of project types and the more trades hang in the plan, the greater the value. For a single trade without cross-departmental coordination, Linetrack isn't worth it.

Does Linetrack replace the ERP system?

No. The ERP documents what happened - purchase orders, master data, invoicing. Linetrack plans ahead: what happens if another property lands or a delivery fails to arrive. The two complement each other: Linetrack connects to ERP and time tracking systems through interfaces and supplies the cross-project planning and capacity view the ERP does not offer. Linetrack does not track working time itself; actual hours come from time tracking.
